Data Export — SanadiqCloud

Product version: 1.0.0+1 Last updated: 2026-10-02 Audience: Organization owners

A. What it is

Path: /settings/data-export (Settings → Data export).

The organization owner can download a copy of the organization's business data as one ZIP package. Use it to keep your own backup, move to another system, or answer a request from someone whose data you store.

  • Owner only. Members, custom roles, and SanadiqCloud platform staff cannot request or download an export. The permission strings tenant:data_export:create / tenant:data_export:read exist for later delegation; granting them does not give access today.
  • Active organization only. An inactive (deleted or deactivated) organization cannot request or download exports.
  • The Data export tile in the hub's organization shortcuts is disabled for non-owners ("Only the organization owner can export data").

B. Categories

Category Contents
Organization Organization profile and settings
Members Memberships, invitations (invitee name and email), roles, role permissions, role assignments; member name, email, phone, sign-in provider, account type, verification/active status
Products and catalog Products, brands, categories, variations, items, and related catalog tables
Inventory Warehouses, bins, stock, adjustments, transfers, requisitions, transactions, suppliers, lots, serial numbers, pick lists, sales-return receipts
Sales Customers, sales orders, sales invoices and their lines, payments, returns, refunds
Finance Chart of accounts, fiscal years and periods, journal entries and lines, e-invoicing profile and submissions

All categories are selected by default (Select all). Other categories refer to people by user ID — include Members to match those IDs to names and emails.

Not included

  • Secrets: password hashes, sessions, verification codes, invitation tokens, and stored finance/tax credentials.
  • Uploaded files (media) and support cases — planned, not available yet.
  • Audit logs and billing history — planned, not available yet.
  • Dashboard figures and notifications (derived or temporary data).

C. Requesting an export

  1. Open Settings → Data export.
  2. Choose categories, then Request export.
  3. Review the confirmation and tap Continue.
  4. Confirm your identity: your password, or Google sign-in for Google accounts.

The export runs in the background. You can leave the page. You get an in-app notification and an email when it is Ready or has Failed. The email never contains a download link.

Each part of a category (Members has two) is taken at its own snapshot time, listed in the manifest. Changes made during the export may appear in some categories and not others.

Limits

Limit Value

D. Status and history

The page lists the latest 20 exports.

Status Meaning
Queued / Processing / Packaging Being built. The page refreshes by itself for about 15 minutes, then shows Refresh.
Ready Download is available until the date shown. Size and SHA-256 are shown.
Failed Request a new export. If it fails again, contact support with the reference code shown.
Cancelled Cancelled by you, or because the organization became inactive.
Expired The 7 days passed (or the file is no longer available). The file is deleted; request a new export.

You can Cancel export while it is being built. Work in progress is discarded.

E. The package

Extract the whole ZIP to a folder, then open START_HERE.html in your browser.

A ZIP file containing:

  • START_HERE.html — a guide that opens in your organization's language (a button switches it to English or Arabic): which file to open, every table with a plain-language name, description and row count, links to its files, and every column explained. It works offline and runs no scripts.
  • excel/{category}.xlsx — one Excel workbook per category, one sheet per table, column headers in your organization's language (Arabic sheets read right to left), numbers, dates and yes/no as real values. The first sheet lists the sheets. Opens in Excel, Google Sheets, LibreOffice or Numbers. A sheet holds at most 1,048,575 rows; a larger table is cut there and the workbook, guide and manifest say so — the CSV and JSONL files always have every row.
  • manifest.json — every category, file, row count, snapshot time, and SHA-256 checksum.
  • README.en.md / README.ar.md — how to read the package.
  • One folder per category with every table twice: .jsonl (one JSON object per line, exact values) and .csv (for spreadsheets; UTF-8 with BOM so Excel shows Arabic correctly).

The Excel workbooks and the guide are a convenience copy; the .csv and .jsonl files are the exact record. Identifier columns (such as Customer ID) link rows between files, and dates and times are in UTC.

CSV text cells that start with =, +, -, @, tab, or carriage return get a leading ' so spreadsheets do not run them as formulas. The .jsonl files keep the original values.

Records deleted in the app but still kept (soft-deleted) are included and marked with is_deleted / deleted_at.

Anyone with the file can read it. Store it securely.

F. Deleting an organization

  • The delete dialog offers Export your data first for the organization you are working in. Deleting never waits for an export.
  • Deleting or deactivating the organization cancels an export that is still being built.
  • A Ready export cannot be downloaded while the organization is inactive. If the organization is reactivated, download works again until the original expiry date.
  • When an organization is permanently removed, its export history is removed and its files are deleted by the next storage cleanup.
