A. Introduction
What is the Inventory Hub?
The Inventory Hub manages stock across warehouses and inventories: receiving, storage, adjustments, transfers, pick lists, requisitions, and the transaction ledger. Catalog identity (name, SKU, barcode, price) comes from the Product Catalog; quantities and tracking live here.
Who is this guide for?
Tenant Owners, Tenant Employees, and Regular Users with inventory permissions. Day-to-day operators can also use the Employee Manual.
Master Phase 2 warehouse operations: setting up facilities and physical bins, stocking catalog SKUs, running cycle counts, approving adjustments, executing inter-warehouse transfers, and receiving inbound supplier requisitions.
B. Navigation
Open Inventory from the side navigation rail. The entry screen is the Warehouse hub (/inventory). From the hub you get warehouse search/list, Explore inventory tiles (permission-gated), and actions such as Setup, Roadmap, and Add warehouse.

Warehouse detail is for warehouse configuration (edit, inventories, barcode) — not document shortcuts.
There is no dedicated Inventory > Statistics page. Organization-level stock health (low stock / expiring) appears on the Merchant Dashboard; see Statistics.

Do not confuse: warehouses ≠ bins. Warehouses are facilities (their address is the optional map link); physical locations are storage spots inside them.
D. How Stock Is Tracked
Every movement creates a Transaction. Common types include receipt, issue, adjustment, and transfer. Same-inventory bin moves and pick-list issue use reference_type bin_transfer / pick_list (see Transactions).
Each inventory item tracks:
- On hand — Physical count
- Reserved — Committed quantity
- Incoming — Expected but not received
- Available — On hand minus reserved
SKU and barcode come from the linked Product Item. Catalog packaging dimensions can seed item dimensions (cm) on create.
E. Inventory Setup Wizard
Required permission: create inventory items (
inventory:item:create, plus related create rights for warehouse / inventory / bins as you use those steps).
Setup stocks one catalog SKU into a warehouse + inventory and places its quantity in bins as part of the same flow.

Placement (step 3):
- With one bin, the whole quantity goes to it — nothing to choose.
- With several bins, the default is the last bin you added (otherwise the first bin); pick another bin if needed.
- Split across bins (needs permission to update stock items) shows bin + quantity lines. Each bin can appear once, and the lines must add up to the quantity before you can continue.
- Quantity 0 needs no placement. A positive quantity needs at least one bin — add one from the step.
Create item: Creates the inventory item already placed in its bin(s). If a split could not be saved, the item still exists without a bin — use Retry placement, or place it later from stock item detail. Afterwards open the item, Stock another item (same warehouse, inventory and bins), or finish.

Roadmap (/inventory/roadmap) is a separate guided checklist (warehouse → storage → stock → placement) that deep-links into existing forms — it does not replace the Setup wizard.
You can also create stock from a Product Item detail → Create inventory item (catalog IDs prefilled).

If a tile or button is missing, your role lacks permission — contact your Tenant Owner.
G. Quick Start
- Create a Warehouse (optionally paste its Google Maps link).
- Create an Inventory in that warehouse (optionally bins).
- Ensure the catalog has a Product and Product Item (SKU).
- Run Inventory > Setup (or Create inventory from the SKU) to stock the line.
- Setup places the quantity in its bin(s) on create; then use adjustments / transfers / pick lists / requisitions as needed.
- Monitor Transactions, item ledger, and the merchant dashboard Stock Alerts (low stock + expiring soon).

I. Best Practices
- Use Transfers for inter-warehouse moves (not adjustments).
- Use Pick lists to issue stock from a source bin for internal or operational use (not a sale, not a bin transfer).
- Use Physical locations for pick accuracy when you operate bins.
- Leave batch/lot blank only when auto-gen is acceptable; set serial deliberately.
- Review dashboard Low stock and Expiring soon alerts regularly.
- Reverse bad transactions instead of deleting history.
