A. Introduction

What is the Inventory Hub?

The Inventory Hub manages stock across warehouses and stock pools: receiving, storage, adjustments, transfers, pick lists, requisitions, and the transaction ledger. Catalog identity (name, SKU, barcode, price) comes from the Product Catalog; quantities and tracking live here.

Who is this guide for?

Tenant Owners, Tenant Employees, and Regular Users with inventory permissions. Day-to-day operators can also use the Employee Manual.


B. Navigation

Open Inventory from the side navigation rail. The entry screen is the Warehouse hub (/inventory). From the hub you get warehouse search/list, Explore inventory tiles (permission-gated), and actions such as Setup, Roadmap, and Add warehouse.

Warehouse detail is for warehouse configuration (edit, stock pools, zones, barcode) — not document shortcuts.

There is no dedicated Inventory > Statistics page. Organization-level stock health (low stock / expiring) appears on the Merchant Dashboard; see Statistics.

Do not confuse: Locations ≠ warehouses ≠ bins. Locations are addresses; warehouses are facilities; physical locations are storage spots.


D. How Stock Is Tracked

Every movement creates a Transaction. Common types include receipt, issue, adjustment, and transfer. Same-pool bin moves and pick-list issue use reference_type bin_transfer / pick_list (see Transactions).

Each inventory item tracks:

  • On hand — Physical count
  • Reserved — Committed quantity
  • Incoming — Expected but not received
  • Available — On hand minus reserved

SKU and barcode come from the linked Product Item. Catalog packaging dimensions can seed item dimensions (cm) on create.


E. Inventory Setup Wizard

Required permission: create inventory items (inventory:item:create, plus related create rights for location / warehouse / pool / bins as you use those steps).

Setup stocks one catalog SKU into a warehouse + stock pool, with optional bins and post-create allocation.

Step Label What you do
1 Location Choose or create the site / address.
2 Storage Choose or create warehouse and stock pool.
3 Bins Optionally create physical locations (bins / shelves).
4 Catalog item Choose product and product line (SKU). Empty catalog opens Product Setup.
5 Stock details Quantity, min/max, reorder, unit cost, currency, supplier, batch/lot/serial, expiry/manufacture, dimensions.
6 Review & create Confirm fields, then create the inventory item.
7 Allocate bins After create, allocate quantities across bins (optional multi-bin).

Finish: Creates the inventory item; you can complete bin allocation on step 7, then open stock item detail.

Auto-generation on save (if left blank):

  • Batch → BATCH-YYYYMMDD-XXXXXX
  • Lot → LOT-YYYYMMDD-XXXXXX
  • Placard barcode → PL-… sequence
  • Serial is never auto-generated; when set, quantity is treated as 1

Roadmap (/inventory/roadmap) is a separate guided checklist (site → storage → stock → placement) that deep-links into existing forms — it does not replace the Setup wizard.

You can also create stock from a Product Item detail → Create inventory item (catalog IDs prefilled).

If a tile or button is missing, your role lacks permission — contact your Tenant Owner.


G. Quick Start

  1. Create a Location (address), then a Warehouse linked to it.
  2. Create a Stock pool in that warehouse (optionally zones and bins).
  3. Ensure the catalog has a Product and Product Item (SKU).
  4. Run Inventory > Setup (or Create inventory from the SKU) to stock the line.
  5. Optionally finish Allocate bins, then use adjustments / transfers / pick lists / requisitions as needed.
  6. Monitor Transactions, item ledger, and the merchant dashboard Stock Alerts (low stock + expiring soon).

I. Best Practices

  • Use Transfers for inter-warehouse moves (not adjustments).
  • Use Pick lists to issue stock from a source bin for internal or operational use (not a sale, not a bin transfer).
  • Use Physical locations for pick accuracy when you operate bins.
  • Leave batch/lot blank only when auto-gen is acceptable; set serial deliberately.
  • Review dashboard Low stock and Expiring soon alerts regularly.
  • Reverse bad transactions instead of deleting history.
